Your organization's settings determine which of these are actually enabled for you.

Facility Paid

Your organization covers the cost. Follow your organization's own approval process if one exists — for example, some organizations require the patient to meet certain criteria, or need sign-off from an administrator before booking.

Roundtrip may pay the Transportation Provider on your organization's behalf, or the provider may invoice your organization directly — this depends on your organization's billing setup with Roundtrip.

Patient Paid

The rider covers the cost. There are two ways this can work:

Pay by card: Enter the rider's card during booking. A hold is placed for the estimated cost; once the ride is done, the hold is replaced with a charge for the actual cost.

Pay outside Roundtrip: The rider pays the Transportation Provider directly — sometimes before the ride, sometimes at pickup, sometimes billed later. Not available for rideshare.

Insurance Paid

The rider's insurance plan covers the cost. Coverage, benefits, and authorization needs vary by plan and by vehicle type.

If your organization has authorizations set up with Roundtrip, Roundtrip will attempt to get authorization from the plan and keep the authorization status updated in the portal.

Transportation Providers are responsible for confirming they're in-network and for submitting their own claim to the plan — Roundtrip doesn't submit claims on their behalf.

Insurance types available in Roundtrip:

Private Insurance (including Medicare Advantage): May need authorization depending on plan and vehicle type.

Medicare: Traditional Medicare requires active Part B, and typically only covers ambulance-level transport.

Medicaid: Usually needs authorization through a broker before the ride. If your organization has brokered authorizations set up with Roundtrip, our team handles contacting the broker for you.

Medicaid may reimburse for rideshare or taxi rides after the fact, but those two vehicle types can't be booked as Medicaid-paid inside Roundtrip.
