At Roundtrip, we recognize the intricacies of transportation terminology, which can vary significantly by region, organization, or even among departments! This glossary aims to demystify common terms and phrases used within the Roundtrip Portal and throughout the transportation lifecycle.

Terminology | Definition |
Admin User | Users that have a holistic view of the user accounts for the client organization, can add / edit /deactivate user accounts and can view the Reports tab to analyze data on Roundtrip rides. |
Ambulatory | Rider must be capable of walking and getting from door-to-door on his or her own.
Riders must be ambulatory to be eligible for a rideshare, medical sedan, or taxi ride. |
Authorizations | Certain types of medical transportation are covered by insurance rather than the
rider or facility. These trips must be authorized by the insurance company. Depending on the organization’s settings, Roundtrip may be responsible for contacting the listed payor to request authorization. |
Book Time | Time the ride request was submitted and booked within Roundtrip. |
Book Trip User | These users are responsible for scheduling trips, but do not need access to
reports, or the ability to add/edit user accounts. |
Community Page | Where a transportation user can view and respond to rides requested in Roundtrip. They can either decline or submit an ETA on the trip they would like to claim. |
Countdown Timer | On the Community Page, the Countdown Timer will be displayed under the ride’s status badge to indicate how much time is left in the ETA Submission Window. Once the timer ends, Roundtrip’s system will automatically calculate and award the ride to the Transportation Companies with the best-matching ETA. If no timer is displayed, the ride will be awarded immediately when a Dispatcher submits an ETA. |
CSV | Stands for Comma Separated Values. A CSV file is a simple plain text file format used to store tabular data, such as a spreadsheet or database. Files in the CSV format can be imported to and exported from programs that store data in tables. Once you click ‘Download’ in Roundtrip, the CSV file will contain extensive data on your Roundtrip rides |
Dashboard | The screen a user sees immediately upon log in. Information on rides for the day can
be viewed, and the user can navigate to other days or functionality from the dashboard |
Electronic Health Record (EHR) | A digital version of a patient’s medical chart. EHRs are real-time,
patient-centered records that are available instantly and securely to authorized users. |
ETA Submission | When a ride is pushed to the Roundtrip Community, all transportation companies
that are eligible to fulfill that ride request can submit an estimated time of arrival (ETA). Roundtrip awards the ride to the company with the best ETA submission, while accounting for any group specific rules. |
ETA Submission Window | Once a ride is requested in Roundtrip, eligible transportation companies have a set window of time to respond to the request and submit an ETA on the transport. The length of time can vary depending on the settings of the group the ride was booked under. |
Facility Programs | Some facilities set up specific programs to tag rides and track specific cost
center payments. |
Leg | A single transport from one destination to another as part of a round-trip. A round-trip will have two legs: the outbound leg and the return leg. |
Limited Access Users | Users that have the lowest level of portal access and functionality. They can monitor trips, dispatch Will Call trips, and redispatch missed connections. |
Missed Connection | A rideshare driver and rider do not connect, and a ride needs to be redispatched. |
Multi-Stop Ride | When setting up One way rides in Roundtrip, you can also add a stop. Additional
stops are commonly used for pharmacy stops on the way home. You can enter a pickup, drop off, and mid-trip stop within the booking workflow. This can be done for all vehicle types, except rideshare rides. |
Navigation Center | Roundtrip’s 24/7 Navigation Center provides a range of services, including proactive ride monitoring, ride investigation, day-to-day technical / customer support. It can also provide ride booking and insurance authorization services for an added cost. |
Non-Emergency Medical Transportation (NEMT) | Covers all transportation services offered to patients and healthcare consumers who are not in an emergency situation but face barriers getting to their medical appointments and medical needs. |
Notifications | Method for Roundtrip to keep users informed of ride updates. This includes staff, ride bookers, riders, and transportation companies. |
One Way Ride | One way rides are available in Roundtrip for trips that are only needed for one
direction. They are typically requested for discharges and transfers. |
Physician Certification Statement (PCS) | The Physician Certification Statement (PCS) Form is a written authorization from a Physician, Physician's Assistant, Nurse practitioner, Clinical Nurse Specialist, Discharge Planner or Registered Nurse signifying that transport by ambulance is medically necessary and the rider’s condition at the time of transport meets medical necessity requirements. |
Pickup Time | Time the driver should get to the rider to provide the ride. |
Power Users | These Users serve as the facility’s Roundtrip portal experts. Some Power Users may
have Admin User access, and some may have Book Trip User access. |
Repeating Ride Series | Roundtrip offers the option to schedule a repeating ride. This is helpful for riders
with recurring appointments. You can choose how often that trip should occur and when the series should end. |
Requested Ride Time | Time that was requested as the pickup time when the ride was booked in Roundtrip. This is what was requested but the actual pickup time may differ depending on the time the driver/assigned Transportation Partner arrives. |
Ride | A single transport from one destination to another. A ride can be a leg of a trip. For example, a trip to and from the doctor is 2 rides. |
Ride Additional Information | This section is not applicable for Rideshare and Taxi transports. For Medical Sedan, Wheelchair Van, and Ambulance transports, use this field to indicate any additional information about the rider to the transportation company that you would typically provide but did not see a place to include it in Roundtrip. |
Ride Driver Instructions | This section is for any information necessary to help the transportation company locate the rider. For rideshare, this information is sent to the driver upon acceptance. |
Rider | The person that will be traveling during the transport. Also referred to as the passenger or patient. |
Rider App | Portal in which Riders may book and manage their own rides (if offered by their organization). |
Rideshare | On-demand service that arranges transportation on short notice. The rider travels in a private vehicle driven by its owner. The two rideshare companies that Roundtrip offers are Lyft and Uber. |
Rides Page | The page a Dispatcher sees immediately upon log in. On this page, a Dispatcher can review any assigned rides for their company for the requested date range. |
Roundtrip Community | Roundtrip’s Transportation marketplace that allows transportation companies to view and respond to any ride request that they are eligible to transport. |
Roundtrip Portal | Portal in which transport requests can be booked for Riders. Once booked in the Portal, the request can be reviewed and responded to by Dispatchers in the Roundtrip Community. |
Round-trip Ride | Round-trip rides are available in Roundtrip when a rider needs to be transported for both legs of a trip. A round-trip ride may be the best option for an appointment. |
Transportation Company | Companies that have joined the Roundtrip Community to respond to transport requests and provide transportation to Roundtrip riders. |
Trip | Traveling from a pickup location to a drop-off location and includes the transport going back to the original pickup location. Each individual transport within a trip may be referred to as a “leg”. |
Will Call | A transport reserved without a specific pickup time. Staff can launch the ride when a time is
known, or the rider can decide when to launch a Will Call trip. |
