The Trip Details File contains detailed information about your transportation costs. This file provides a monthly breakdown of cost information and contains details like vehicle type, programs, patient names, and location.
Accessing The Trip Details File

All Trip Details Files are stored on a secure Sharepoint site and must be downloaded before they can be edited or filtered. The direct link to download the Trip Details File can be found in the upper right hand corner of your invoice.
Each payment processed by Roundtrip will include a corresponding Trip Details File. This file specifies the rides included in your payment and the amount paid to your company for each ride, including any additional transportation costs if applicable.
Trip Details are sent via email during each payment cycle to the Billing Contact Roundtrip has on file for your company. If you have not received a Trip Details file for a recent payment or need to request past Trip Details files, please contact our Billing Team at billing@roundtriphealth.com for assistance.

Trip Details Reporting Data Points
The following are included on the Trip Details file for Transportation Providers:
Column Header | What Information is Provided |
Scheduled Start Time | The scheduled start time for the ride within Roundtrip. If the ride was a will call that was not launched but was completed, this will just say “Will Call”. |
Ride ID | The Ride ID for the ride being paid out. |
Trip Vehicle Type | The type of vehicle the ride was booked with. |
Hospital Name | The name of the group the ride was booked under (in Organization > Group format) |
Program Name | The program the ride was booked under for the group listed above. If no program was selected during booking, this will just show as “(blank)”. |
Pickup Address | The scheduled pick-up address for the ride within Roundtrip. |
Dropoff Address | The scheduled drop-off address for the ride within Roundtrip. |
Patient Name | The name of the Rider that was transported. |
CC Name | The name of the Ride Booker. |
Mileage | The total scheduled mileage for the ride (this is only the ride distance and does not include any dead mileage). |
TX Provider | The name of the Transportation Provider that completed the ride. |
TX Payment | The total amount the provider was paid for the ride, including any additional transportation costs. |
Billing Notes | Any miscellaneous notes from the Billing Team. For providers, this often includes any approved transportation costs (i.e. “Includes $100 dead mileage & $25 cancellation fee). |
Interacting With Your Trip Details File
Filtering
Filtering allows you to display only the rows that meet specific criteria, hiding the rest. This is useful for focusing on relevant data within a larger dataset and making it easier to analyze or present information.
Download your Trip Details File and open it. Click the row number to highlight the row of headers.

Click the Sort & Filter icon. Choose Filter. The All Trip Detail headers are now filters.

Click the drop down arrow next to the column header and choose what criteria you want to filter by. When filtering multiple columns, the data displayed will be the subset of rows that meet the criteria specified in all the applied filters. Filter by all columns, including by Hospital or Program.

If a cell shows null or (blank), no data exists. For example, if a ride shows (blank) in the programs column, no program was listed for that ride.
Understanding Costs
The cost for each ride can be found in the Total Tx column. Total Tx also includes missed connection fees. The exact amount of each fee is noted in the Billing Notes.
Comparing the Total Tx column with Billing Notes can help you understand if a ride includes a missed connection fee and if a ride was redispatched or not. If the Total Tx column is equal to the missed connection fee in the Billing Notes, then the ride was not redispatched. If the Total Tx is higher, it suggests that after the first missed connection, the ride was redispatched, and so Total Tx includes transportation cost and = missed connection fees.
To find the total cost for a group of cells, like finding the total cost of all rideshare rides for riders in a certain program, set your filters. The total will appear on your status bar at the bottom of your spreadsheet. Learn more about finding the sum in this article:

Rideshare fees are set by the rideshare provider and may vary with mileage and other criteria.
