Overview of Authorization Statuses

An overview of authorization statuses within Roundtrip and how they are displayed within Roundtrip.

If your organization uses Roundtrip for authorizations, you can view the most recent authorization status for the ride within Roundtrip. If you have enabled notifications for the ride, you will also receive automated updates about any changes to the authorization status.

Where to Check the Authorization Status

Checking the current authorization status within Roundtrip is simple. You can check the authorization status in several locations:

  • Ride Details Page
  • Rider Profile Page
  • Trips Page
 

In each location, the authorization status can be found right under the ride’s status badge:

Need more details on the authorization status? Navigate to the Ride Details Page for the specific ride and find the section titled “Authorization”. This will provide additional details and notes regarding the authorization if available.

 
 

Understanding Authorization Statuses

There are several statuses that will appear within Roundtrip if your organization has authorizations in scope. This chart explains each available authorization status that you may encounter:

What it means

The trip has been authorized by the insurance provider and can proceed for reimbursement.

What happens next

No additional authorization action is required.

What it means

Authorization is not required for this trip based on the payer's coverage rules.

For example, some payers have known coverage guidelines that do not require prior authorization for certain transportation services.

What happens next

The trip can proceed for reimbursement through the insurance provider.

What it means

Roundtrip is actively working to obtain authorization for the ride.

What happens next

A notification will be sent when the authorization status is updated. Depending on your notification preferences, updates may be delivered by:

  • Email
  • Text message
  • Automated voice call

What it means

The rider is not eligible for transportation coverage through their insurance plan for this ride.

What happens next

The ride cannot proceed under the requested insurance authorization.

What it means

The insurance provider requires additional information before they can review or approve the authorization request.

What happens next

Additional information must be provided before the authorization process can continue.

What it means

Authorization for this vehicle type or payer falls outside your organization's authorization services with Roundtrip.

What happens next

Authorization must be handled outside of Roundtrip.

Additional Information

Brokered rides are marked Completed by Roundtrip's Navigation Center approximately 24 hours after the scheduled ride time.

Non-brokered rides are marked Completed by the assigned Transportation Provider after the transportation has been performed.
